Current Month Board Topics

  • Harassment Policy Update (https://www.youtube.com/live/DoKlLMfBm6Y?si=5E-TlFTbLWhmyiza&t=342)
    • Last month we had Sequeerity visit, they expressed concerns with the harassment policy and how it didn’t include some more specific language.
    • We decided to add a line to the policy as a result (you can see that new sentence along with the entire document in the hyperlink).
    • We need to vote to update the policy and add that change to the website.

Motion to update the Harassment Policy
Hope seconded
All in Favor (All of the present Board)
Motion Passes

  • Staff Handbook rewrite (in progress)
    • This was a specific Anime Detour handbook, but it hadn’t been updated since 2021.
    • Might try to make it an ATC in general handbook, with a lot of Anime Detour language, would like this done before Anime Detour’s next cycle.

  • Annual Meeting Planning (Election Planning)
    • Last year we had our main May board meeting and then we rolled into our annual meeting. Seems like a fine format which we will do again.
    • We have our new in-depth coordinator review policy; it has to begin within 30 days of the convention.
    • The coordinator reviews will be a part of the actual board meeting in May.
    • The annual meeting will be the financial report and we are talking about it but we could have a charitable giving overview and a Special Events overview at the annual meeting.
    • Elections will start after the meeting closes; we would the night before have the interviews.
    • We are going to do the same as last year.
    • Nick will send out a request for reviews.
    • We will need to send out emails, that we are going to have four seats open. We need people to let us know if they want to run, and then set up the interview time which could be the date before, and will then get the ballots setup in eBallot.
    • Hope we have enough time for the financial report with 1.5 months after the convention.
    • Would love to come up with something for communications at the annual meeting, but unsure of what that would be.

Open Session (up to 30 minutes)

  • Any members of the community can bring new business to discuss with the board
    • Nothing
